The Challenge
Health UK's clinic ran entirely on paper charts and a phone line for bookings. Finding a patient's history meant physically pulling a folder from a filing cabinet — assuming it hadn't been misfiled, which happened often enough to be a real problem during time-sensitive appointments. Booking by phone meant no-shows were common, since there was no automated way to remind patients or let them reschedule without calling back during office hours.
As the clinic grew, the paper system stopped scaling. Reception staff spent a growing share of their day on phone tag and file retrieval instead of patient care, and the clinic had no reliable way to demonstrate records handling met the data protection standards patients increasingly expected.
Our Solution
We built a web platform for scheduling and patient records with encryption and access controls designed around clinic data protection requirements from the ground up, not bolted on afterward. Patients book and reschedule online, and automated reminders go out by email and SMS ahead of each appointment — the single biggest lever for cutting no-shows.
Records that used to take a staff member several minutes to physically locate now come up in seconds, searchable and always in the right place. Reception time freed up from phone tag went straight back into patient-facing work, and the clinic now has a clear, auditable record of who accessed what and when.
